DentalCloud ("we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our web application and services (collectively, the "Service"). By using the Service, you agree to the practices described in this policy.
1. Information We Collect
Information you provide directly
- Account information — name, email address, and password when you register.
- Patient data — patient names and dental photographs you upload to the Service. You are solely responsible for obtaining informed consent from your patients before uploading any of their data or photographs.
- Payment information — billing details processed securely by our third-party payment provider (Stripe). We do not store your full card number.
- Communications — messages you send through our contact form or to support@dentalcloud.io.
Information collected automatically
- Usage data — pages visited, features used, timestamps, and referring URLs.
- Device information — browser type, operating system, and screen resolution.
- Cookies — we use essential cookies for authentication and session management. See Section 6 below.
2. How We Use Your Information
DentalCloud is a storage-onlyservice. We do not analyse, process, or derive insights from your patient photographs or data. Your images and records are stored securely and displayed back to you — nothing more. If we ever introduce features that involve processing your data (such as image analysis), we will request your explicit consent before doing so.
We use your information solely to:
- Provide, maintain, and improve the Service.
- Store and display patient photographs you upload for your practice's use.
- Process payments and manage your subscription.
- Send transactional emails (e.g. account verification, billing receipts).
- Respond to support requests and enquiries.
- Monitor usage to detect and prevent fraud, abuse, or security incidents.
3. How We Store and Protect Your Data
- Patient photographs are stored in encrypted Microsoft Azure Blob Storage.
- We strip EXIF metadata from uploaded images to remove location, device, and other identifying information, making photographs less identifiable outside of the Service.
- All data in transit is encrypted using TLS (HTTPS).
- Authentication is managed by Supabase with industry-standard security practices.
- Access to production data is restricted to authorised personnel only.
4. Data Sharing and Disclosure
We do not sell your personal data. We may share information with:
- Service providers— third-party vendors who help us operate the Service (e.g. Azure for storage, Supabase for authentication, Stripe for payments).
- Legal requirements— if required by law, regulation, or valid legal process.
- Business transfers— in connection with a merger, acquisition, or sale of assets, your data may be transferred to the successor entity.
5. Data Retention
- We retain your account data for as long as your account is active.
- If you cancel your subscription, your data remains accessible for 30 days. After that period, it is permanently deleted.
- You may request deletion of your account and all associated data at any time by contacting support@dentalcloud.io.
6. Cookies
We use essential cookies required for authentication and session management. We do not use advertising cookies.
The only third-party cookie we use is Google Analytics, which helps us understand how the Service is used so we can improve it. Google Analytics collects anonymised usage data such as pages visited and session duration. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.
You can disable cookies in your browser settings, but this may prevent you from using certain features of the Service.
7. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data.
- Object to or restrict certain processing of your data.
- Export your data in a portable format (Pro and Enterprise plans).

8. Children's Privacy
The Service is intended for use by dental professionals and is not directed at individuals under the age of 18. We do not knowingly collect personal information from children.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
